About the Role
We have an exciting vacancy for a talented individual to join our team located within the HR Shared Service function. You will be part of a collaborative team that are pro-active and driven with a “can do” attitude. The team operates with a personal and friendly approach to ensure the employee lifecycle function associated with T&A is a positive experience.
This role involves working closely with employees, Managers, HR and Payroll teams to ensure compliance with company policies. The successful candidate will be adaptable to change and have the skill and ability to hit the ground running. Responsibilities:
Under the guidance of the Time Management Lead you will be responsible for the following:
- Oversee the accurate entry and tracking of employee time & attendance records and resolve discrepancies.
- Ensure the accurate logging of overtime when required and highlight any queries to Managers.
- Accurately onboard and process new starters in the T&A system.
- Exit leavers from the system in a timely manner, including reconciliation of banked hours to avoid under/overpayment of final salary
- Daily liaison with the Payroll teams to discuss any changes that would impact pay. (Future shift changes, late leavers & entity changes)
- Processing any Change of terms for employees within the T&A system, liaising with HR colleagues on agreed timelines for smooth transition.
- Working closely with HR Shared Services & HR People teams both on/off site to resolve any issued raised relating to shift changes, absences and holidays.
- Generate Management Information reports daily for employees absence & holidays.
- Daily reporting on missing clocking times & anomalies to Managers via email or Teams support channels.
- Provide new Manager training & support on the T&A System either face to face or via Teams with supporting Training Manual.
- Provide refresher training to existing leads as and when requested.
- Create bespoke reports for the different sites on request. (Cost Centre, headcount, location, etc.)
- Working closely with Time Management Lead to validate hours, timesheets before submitting the final report for payroll processing.
- Keeping up to date with mandatory training courses set by the company.
Requirements:
- Experience of working in a similar role would be advantageous.
- Experience/Knowledge of Time & Attendance systems would be advantageous.
- Strong computer skills, confident in the use of Excel to include V-Lookups and pivot tables.
- Excellent communication skills both verbal and written to ensure recipient receives a “Right first time” resolution to their query.
- Excellent attention to detail.
- Flexible approach around busy periods & payroll deadlines.
- Can adapt well to changes and updates within the business.
- Proactive with a positive attitude.
